Every client, every hour, every approval. One place.
For marketing, creative, design and development agencies and consultancies. Win the work with a quote the client signs through Navalo Signatures, start the project from it, log every hour against the client, show them a read-only board instead of a status email, and turn the billable time into the invoice.
29 tools switched on for this trade at setup. Untick any you don't need.Default project tabs
List comes off: client work is read on the board, the timeline and the calendar, and Budget stays because every job has one.
Projects created on day one
- Client Work
- New Business
- Studio Ops
How Agencies & Studios actually runs.
Each of these is a project in Navalo - its own board, tab strip, meetings, calendar and members. They are not pre-built modules and we will not pretend they are: what the industry gives you is the right defaults around them.
The three that do the heavy lifting.
Choose this industry during setup and its tools are queued for you. Review the list, drop anything you don't want, and the workspace initialises with the rest already working - or install any one of them on its own, later, from the marketplace.
Quotes & Proposals
Sectioned, priced quotes launched from a CRM opportunity. The client signs through Navalo Signatures, and a signed quote becomes a project with its tasks and budget.
- Sections, priced lines, validity, discount and tax
- A first draft from the opportunity's notes, never a price
- Client signing through Navalo Signatures
- Accepted and signed, it becomes the project
Time Tracking & Billing
One timer for the whole workspace. Bill rates resolve per person, per project or per client, and billable time is what the invoice is built from.
- Task timers and manual entries
- Rates per person, per project or per client
- Billable and non-billable kept apart
- CSV export of every line
Invoicing
Invoices from billable time, rebillable expenses and accepted quotes, numbered at send, with overdue reminders and a PDF. Payment status shows on the client's CRM account.
- Drafted from hours, rebillable claims and quotes
- Numbered when sent, with no gaps
- Overdue reminders to the person who sent it
- Status on the client's CRM account
What changes, in the hours it actually changes.
Three moments from an ordinary week. Every one of them is a thing the product does, not a thing it could be configured to do one day.
09:30 - the quote goes out with its sections priced
Quotes & Proposals builds the quote in sections with priced lines, a validity date, a discount and tax, launched from the opportunity in the CRM. Ava can write a first draft from the opportunity's notes; nothing is saved until you press Save, and Ava never sets a price. The client signs it through Navalo Signatures.
11:10 - the signed quote becomes the job
Once a quote is accepted and signed, one press creates the project with a first task for each line you marked and the quote's net value as its budget. The brief and every change request after it arrive in Intake as typed records with a category and a priority, so scope is discussed at the brief rather than at the invoice.
17:00 - the hours become the invoice
A timer runs from the task, or the entry is added afterwards, and the rate resolves per person, per project or per client. At month end Invoicing drafts the invoice from the client's billable hours, the expense claims marked to rebill and the accepted quote, numbered when you send it.
These sit on top of the whole product.
- Public Read-Only Boards gives a client a sanitised board at a link, with the fields you choose; internal chat and comments are never part of it
- Client Voice keeps what the client said on a recorded call on the project it is about: the sentence, the date and a jump to the minute
- The Content Calendar plans everything you publish for a client, and Approvals records who signed a deliverable off and when
- The CRM keeps new business, accounts and opportunities beside the delivery board, with each account's invoices and payment status on the account
- Expense Claims sit with Spend in Finances, and a claim can be marked to rebill to the client
- Organization > Capacity shows the load on each person across every client, not one project at a time
- Every workspace also gets the core: Announcements, Forms, Polls & Surveys, Kudos, Standups, Approvals, Checklists & SOPs, Recurring Tasks, the Decision Log, the Timeline, Hands-On Scheduling, Notes, the Corkboard, the Handbook, the Policy Library, Structures, Navalo Signatures, Conversation Stats and Budgets
The honest edges.
- Navalo produces, numbers and exports invoices and reminds you when one is overdue. Collecting the money and reconciling it stays in your accounting system.
- A quote line has a price you typed. Ava's first draft names lines and sections; it never prices anything.
- Approvals record a named sign-off against a task. It is not a proofing tool with annotations over artwork or video.
- There is no Figma integration.
