Shifts
Build schedules, fill shifts from availability, publish, and handle open shifts, swaps and notices.
Shifts (the extension that was called Shift-Based Scheduler) adds a Shifts tab to Organization.
- Schedules cover a period, optionally for one team.
- Shifts carry a time, breaks, a weekly repeat, a location, a project, a team, a required role or certification (from Training), a minimum and target headcount, and can be open shifts.
- Who works it: pick people by hand, keep the same people each time, follow a rotation from Shift patterns, or use a draft.
- The picker shows hours this week against contracted hours, availability, time off, clashes and missing certifications. Problems are flagged, never hidden.
Filling and drafting
Fill from availability is done by the product's own rules, with no AI. Draft with AI also fills by those rules; AI only breaks exact ties and explains the picks, with one call per schedule (it uses AI credits). A manager publishes. AI never does.
Publish lists understaffed shifts first. People can take open shifts and offer swaps; approval of a swap is optional and set under Scheduling rules.
Notices
People are told when a schedule is published, when they are added or removed, when a shift changes or is cancelled, and before a shift starts (2 hours by default; each person can change this under Settings, Schedule, Shift notices). Managers are told when a published shift becomes understaffed.
Shifts on calendars
Published shifts also show on the Calendar under My team (the shifts of your teams) and on a project's Calendar tab (the shifts of that project). They are read only there; shifts are edited in Shifts.
On the phone
The Navalo phone app has My shifts, and the weekly availability screen shows the deadline and lets you use a saved schedule or your regular schedule, clear the week and save.
Limits such as the most hours in a day or week, the least rest between shifts and the overtime threshold are your organization's own settings. Navalo applies no legal limit of its own.
This appears where your workspace has the new organization tools switched on. Where they are off, everything works as it did before and these screens do not show.
