Importing clients and invoices from a spreadsheet
Bring clients, invoices and plans in from an Excel or CSV file, with a preview before anything is made.
- 1In Invoices, press Import from a spreadsheet and choose an .xlsx or .csv file (up to 5 MB, one row per client).
- 2Check which column holds each field (name, email, company, amount, due date, plan, whether it repeats). Navalo guesses; you confirm.
- 3The preview counts new and updated clients, invoices and plans, and lists every row with a problem and why.
- 4Press Import.
- A row with a company bills the company; a row without one bills the person. Contacts are matched by email.
- Invoices arrive as drafts. Nothing is sent or emailed by an import.
- Importing the same file again updates what it made instead of making it twice. An amount change on a plan starts next period.
- A plan name that matches one of your plan templates uses it.
- Undo this import is open for 7 days while nothing from it has been sent or paid.
Past invoices
Import past invoices brings in your old tool's invoices as history, with their old numbers. Paid ones are recorded as paid before the move, unpaid ones are listed as owed (Navalo chases them only if you tick Chase old unpaid invoices), and void ones stay void. A history import cannot be undone; void an invoice to take it back.
Note
This applies where client billing is switched on for your workspace. Where it is off, invoices work as they did before.
