Sending invoices your clients can pay

Bill a CRM contact or company, send the invoice by email with a pay link, and record every payment.

Every client is a CRM record: a person or a company. Open the record and its Billing panel holds who invoices go to, the billing address and tax number, what the client owes, their plans and a history of everything that happened.

Sending

  1. 1On a draft invoice, pick who it is for under Bill to (a CRM contact or company).
  2. 2Press Send to client. The addresses from the client's Send invoices to list are filled in; you can change them for this one send. You see the subject and the opening lines before it goes.
  3. 3The email carries a link to the invoice's own page. The client can read it, download a PDF, ask a question and pay, without signing in.

Send again and Copy link stay on a sent invoice. A question the client asks on that page goes to whoever made the invoice and the client's CRM owner, and is kept in the client's history.

Payments

  • A card or bank payment through Stripe is recorded by itself when Stripe confirms it. See Getting paid with Stripe.
  • Money that arrives another way (a bank transfer, cash or a cheque) is recorded with Record a payment. Part payments are fine: the invoice shows what is still owed.
  • Each payment becomes one income receipt in Finances, once. Unpaid sent invoices count as money owed.
  • Refund on a payment returns money through Stripe, or records a refund made another way. A refund is recorded in Finances as spend.
  • The client gets a receipt by email for every payment.

Who can do what

Sending, recording payments and refunds need the workspace owner or billing oversight. Amounts are hidden from people who cannot see Finances, as everywhere else.

How much email goes out

To keep your clients' inboxes and your sending reputation safe, one address gets at most five billing emails a day (receipts are not counted). An email your client must get, such as a receipt or a failed payment notice, waits for the next day when a limit is reached; a reminder is skipped instead.

Plans

Sending invoices with a pay link, the client billing page, payments and reminders come with the Team plan. Recurring plans and automatic payment come with Business.

Note

This applies where client billing is switched on for your workspace. Where it is off, invoices work as they did before.
