Deposits, and approving payments recorded by hand
Split one bank deposit across several invoices, and ask for a second person to approve money recorded by hand.
Record a deposit
On Finances > Invoices, Record a deposit takes one amount you received and splits it across the client's open invoices (Fill oldest first does it for you). The split must add up to the deposit exactly. Either every share is recorded or none is.
Payments recorded by hand need approval
- With this setting on, a payment you record by hand (Record a payment, or a deposit's share) waits. It changes no balance, no receipt and nothing in Finances until it is approved, and reminders for that invoice pause.
- Another person who can bill clients approves or denies it under Payments waiting for approval. Nobody approves a payment they recorded themselves, the workspace owner included.
- Approving records the payment once; the receipt names who recorded it and who approved it. Denying keeps the record with the reason.
- While the setting is on, Mark paid is not available; record the payment instead.
- If an invoice is voided, payments waiting on it are denied with the reason Invoice voided.
Note
This applies where client billing is switched on for your workspace. Where it is off, invoices work as they did before.
