Capturing receipts

Snap, upload or forward a receipt and it becomes a draft expense claim you check and submit.

Open Expense claims. Press Add receipts to upload a photo, a PDF or a text receipt; on a phone you can take the photo there. Or forward a receipt from your own email address to the receipts address shown on the page.

How it is read

  • A PDF or text receipt is read on our side first: the shop, the date, the total and the tax.
  • A photo, or a receipt that could not be read that way, is read by Ava. That uses AI credit, and if your workspace has no credit left it is not read: you type the details.
  • The same file twice is the same receipt. One that looks like a receipt you already added (same shop, day and total) is marked so you can discard it.

Nothing is spent without you

A captured receipt is a draft only you can see. Check the details, pick a project and an approver if you like, then press Submit claim. It then goes through approval like any other claim.

Where bills owed are on and you can see Finances, a draft can be switched from Expense claim (I paid) to Bill owed (to pay the vendor) with one press. Submit bill puts it in Bills owed with the receipt attached, for a finance manager to approve and pay.

Forwarded mail is read only when it comes from your own address and passes our sender checks. Files are limited to 8 MB, and only pictures, PDFs and text are accepted.

Receipt capture comes with the Team plan.

Note

This applies where it is switched on for your workspace.
