Email sequences to CRM contacts

A few plain follow-up emails, one step at a time, that stop on a reply, an unsubscribe or a deal stage.

Email sequences send CRM contacts a short series of plain emails with waits between them. Add Email sequences from the marketplace; it is on the Business plan and above. This applies where it is switched on for your workspace. Where it is off, nothing here appears.

Writing a sequence

  • Up to ten steps. Each has a wait (in days) before it, a subject and a plain-text body.
  • Placeholders fill in for each contact: {first_name}, {name}, {company} and {sender_name}.
  • Preview shows the email for a real contact or a sample person, footer included. Send test to me sends it to your own address.
  • Pick the deal stages that stop the sequence. Won and lost always stop it.

Approving and sending

  • A person who manages connections activates the sequence after previewing it. Nothing is sent before that.
  • To change an active sequence, pause it, edit it and activate it again.
  • Emails go out on weekdays between 08:00 and 18:00 in your workspace's time zone, each step once per contact.
  • Each email is a plain letter: your text, then your workspace's logo and name at the bottom with an unsubscribe link and your workspace's postal address. The workspace address must be set before a sequence can be activated.
  • The unsubscribe link in a test email does nothing, so a test can never unsubscribe anybody.

When a contact leaves the sequence

  • They reply (seen in a mailbox connected to Navalo, or logged as an email on the contact), or someone presses Mark replied.
  • They unsubscribe, an earlier email bounced, or one of their deals reaches a stop stage.
  • An email that could not be delivered is tried up to three times over a few hours, then the contact leaves the sequence as Could not be delivered.
  • The last step was sent, or the sequence was archived.

Limits

Sending is capped at 200 sequence emails per workspace a day, plus 10 test sends per person a day, and counts against the workspace's outside email allowance (never against one person's own meeting invitations). A retry never counts twice. Opens and clicks are not tracked. Ava does not write sequences yet.

Bounces

When the mail server refuses an address as one that does not exist, the contact leaves the sequence as Bounced and your workspace never sends that address a sequence email again. Navalo only sees a bounce when the address is refused at sending; a bounce message that arrives later is not read.
